This privacy notice provides information on the collection and processing of personal information as part of the National Citizen Service Trust (“NCST”) joiner form for residential programmes and describes how NCST processes (collects, uses and shares) personal information about you and your young person as part of this process.
NCST is the data controller for the information we process, unless otherwise stated.
This privacy notice explains how NCST will handle personal data for the purpose of:
- Allocating a suitable NCS experience
- Ensuring participants’ health and safety whilst on an NCS experience
- Understanding the young person’s needs and interests to better tailor products, information and services to you
- Providing information about NCS experiences which you may have requested, or which we consider to be of relevance to you
- Promoting our products and services e.g. NCS events, publications, post-experience opportunities, and other services
- Conducting research and evaluation activities to assess and improve our support
In order to improve our support, we may contact parents/guardians to invite them to share feedback on the young person’s experience of the programme. There is a tick box to confirm you are comfortable being contacted in the main form.
The information we collect to deliver our service will include the following personal information:
- Name
- Contact details
- Gender identity
- Sex
- Financial information
- Dietary requirements and allergies
- Medical/Health information
- Ethnicity
Our legal basis for processing personal data is:
Article 6 (1) (e) Processing is necessary for the performance of a task carried out in the public Interest or in exercise of official authority vested in the controller under the National Citizen Service Act 2017.
Our legal basis for processing special category data is:
Article 9 (2) (g) Reasons of substantial public interest under the National Citizen Service Act 2017.

We won't keep your information for any longer than it's needed.
We retain personal information for 7 Years. Safeguarding incident records will be retained for 25 years. Following this, your personal information will be securely destroyed.
The information you provide will be shared with the relevant NCS providers, and only as part of the necessary administration of the NCS programmes and activities. It will also be shared with research organisations for research and evaluation purposes.
In the event of an emergency, we may need to share some or all of the information on this form with emergency services and medical professionals where the sharing is in the vital interests of the young person.
We have appropriate security measures in place to prevent personal information from being accidentally lost, used or accessed in an unauthorised way.
We limit access to your personal information to those who have a genuine business need to know it.
Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
